WINDY WYOMING MEETING MINUTES
AUGUST 20, 2008

I.        Call to Order:7:15PM.Christian Eagles, John Maier, Dulce Wassil,   Kristi Radosevich, Niki DeLancey, Diane
Raisbeck, Debbie Wiltse, Gulla Burke, Nicolina Burke attended.
II.        Treasurer’s Report:  
A.        We have $5920.00 in the account, including recent deposits and withdrawals.          
B.        We netted $3000 from the schooling horse trials.  Many of the expenses for the schooling horse trials have
prepared us for the recognized horse trials so we will have fewer than our usual expenses then.  
C.        We are still short $770 for the Adult Rider Camp and we are hoping John Clay can provide us with some Area
IX Adult Rider money once we hand over all the account information to the Area IX treasurer.  
D.        Connie (The Tack Room) has donated $100 to help defray the overage.  Thanks Connie.
III.        Work Days:
A.        We made a list of things that we need to do before the Horse Trials, Sept. 20.  If you get to a work day before
those of us who are supposed to know what is going on, please feel free to launch into any of the projects listed
below.  This is not intended to suggest that any of our esteemed members are ever tardy, but just in case.
1.        Stabling:
a.        Bring a muck rake from home and clean some poops out of the stalls.
b.        Bring scissors or a knife and cut down the numbers on the stalls.
2.        Stick pick-up: Focus on Indian Village area.  If you have a truck, throw any sticks in the back and take to the
dump.  If you don’t have a truck, make a pike of sticks that we can load into a truck once one arrives.
3.        Bring lawn mowers and/or weed whackers to mow and trim around jumps.
4.       
 Dates/Times:
a.        Sunday Aug. 24, 1PM
b.        Monday, Sept. 1, 10AM
c.        Saturday, Sept. 13, 10AM
d.        Sunday, Sept. 14, 10AM
IV.        Horse Trials
A.        Loose ends
1.        EMT: Cinthy arranged.  They need to be at Mear’s from about 8AM until around 4PM on Sat. and  8AM until
about noon on Sunday.
2.        Mowing:  Kristi will ride the big mower some more.
3.        Rest rooms: Ready.  Gulla will buy three big hand sanitizers pump bottles for each of the port-a-pots.
4.        Stall assignments:  It was suggested wee stick mailing labels on the stalls with the horse/rider info.  Kristi will
need for someone to enter that data for her.  She will ask Cinthy if she can help with that.
5.        Announcer: Pam, Ted, and Lorraine will cover it.
6.        Garbage: Dulce is working with Wyoming Disposal to get the dumpster emptied an extra time after the event.  
They are having some difficulty figuring out how to add one extra pick-up out to Mear’s but to charge WW.  IF that is
too difficult, Niki suggested we just rent a roll off from them for the weekend so it can be on a different account.  
Dulce will suggest that to them.
7.        food/drinks;
a.        Ted is organizing the Kiwanis pancake breakfast
b.        Ted is looking into getting burritos from a vendor he is familiar with, for Sat.
c.        We have the Pepsi Wagon (comes w/ drinks and cups), but need someone to staff it.  Dulce will contact Liz
Simpson.  We need that person to organize the lunches for the jump judges, dressage judges, and other volunteers,
as well.
d.        Saturday night party: We agreed the lasagna was a hit.  Lorraine will arrange w/ Sweet Melissa’s for more
lasagna.  Gulla and Diane agreed to go get it on Saturday afternoon.

8.        Pam suggested we have about 6 zones on cross country.  These zones will be covered by one person each
with a radio.  Christian will assign these people.
9.        Niki has a barrel race on Sat the 20th.  She will get enough  jump judges and fill their packet if she gets the
maps before Friday the 19th.  Diane will pick up the packets.
10.        Christian will make a skid out of ply-wood to use if necessary for horse removal.
11.        We must use break-away cups for stadium jump oxers.  Kristi will order 7 pairs.
11.  Volunteers:  If you know anybody who may want to help with anything that weekend, please ask them.  We can
find almost anyone a job

B.        Other:
1.        Cinthy has updated our web page. She may re-do it through a new carrier.  She will also update the virtual
course walk.  Thanks Cinthy!
2.        Dulce wanted to start talking about the scheduling for the winter schooling show series.  She wants to
alternate dressage and jumping shows by the month, starting in November.  She is looking into possible arenas for
the jumping, while probably keeping the dressage at Pam’s.
3.        Dulce also suggested that we may want to consider purchasing a portable PA system.  They are about $550.

V.        Next Meeting:  We will all be too busy to meet the week before the event, but should see plenty of each other
that week.  So the
next meeting will be October 15, 7:00PM, at the Grounds.
VI.        Thanks:  Thank you to everybody who worked to put on an awesome camp and schooling show.  We should
be proud of ourselves.  We are such a small club and we did it.  Also a big thanks to |Ann Mears and Mallory for
letting us swarm all over their home for over a week.
